Invoice due today email: neutral wording and a same-day process

An invoice due today email should say exactly that: the agreed payment date is today. It should identify the invoice and offer a useful route for questions. It should not describe the customer as late before the date has passed. Check payment and recent replies first, send one useful message if needed, and review the outcome before planning another.

Make a fresh check before the message goes out

Open the current invoice record and confirm its due date. Check for a payment, a recent remittance message, a query or an agreed change. The fact that you wrote a reminder yesterday does not mean its wording still fits today. If a scheduled message is waiting, make sure it will not duplicate a personal email you have just sent.

Review which contact should receive it. If an accounts team handles payment, include the reference that team uses. A project contact can help with a missing approval, but may not be the right person for a routine payment reminder. Correct the recipient before attaching the invoice, rather than copying several people in the hope that someone responds.

A neutral invoice due today template

Use a calendar date as well as “today”. It helps a recipient who reads the email later. Keep the outstanding amount accurate, particularly if there has been a part-payment.

Subject: Invoice [number]: due today, [date]

Hi [name],

A reminder that invoice [number] has an outstanding balance of [amount], due today, [date]. I've attached a copy with the payment details.

Please use [reference] when making payment. If payment has already been sent, please let me know its date and reference so I can match it.

If there is a question about the invoice, please reply here.

Thanks,
[name / business]

Avoid adding “immediately” or “final warning” to an ordinary due-date message. Those phrases change the tone without explaining anything useful about the invoice.

Adapt it when you already know the accounts process

A customer may have already confirmed that an invoice is included in a particular payment run. Check that conversation before sending a message asking the same question again. If the date is today and nothing needs clarifying, you can simply review your records later.

If the customer asked for a due-day reminder, acknowledge the context: “As requested, a reminder that invoice S-312 is due on 20 October. The current copy is attached.” If a document is still missing, request that document instead of treating the day as an opportunity to send a generic chase. Do not silently alter the agreed invoice date to match an internal accounts step.

Use the reply to decide what happens next

If the customer says they have paid, pause further reminders while you check. Ask for the payment date, amount and reference when needed to identify it. If they ask for a copy, provide the current invoice and record that action. If they raise a concern about the work or amount, move to a personal review of that concern.

For example, a fictional cleaner sends invoice C-77 for £240, due on 20 October. The customer replies that payment was sent using a different reference. The cleaner records that information and checks the payment before closing the invoice. Another “due today” message would add confusion, so it is cancelled.

Change the wording if the message is delayed

If an email prepared for 20 October is not sent until 22 October, remove “due today” from both the subject and body. Recheck the balance and replies first. If payment is confirmed, stop the reminder; otherwise use the actual date, such as “Invoice C-77 was due on 20 October”.

Choose one next contact instead of sending the delayed due-day message and an overdue reminder together. The reminder calendar guide covers later timing. An unsent draft describes what you planned; its final wording must describe the day it actually goes out.
