Invoice sent to the wrong email address: finding the right contact

If an invoice reaches the wrong email address, stop sending to that address and verify the correct contact through an established customer route. Ask who handles invoices before attaching the document again. Record the verified address, resend only the relevant invoice and check that the next reminder uses the corrected contact. Repeated chasing cannot fix a routing mistake.

Stop the repeat and identify what went wrong

An address can be mistyped, outdated or correct for the customer but wrong for invoices. Read the bounce or reply carefully and compare the address with the customer's original instructions. Do not guess alternatives from a person's name or keep trying variations until one accepts the message.

Pause queued reminders that use the questionable address. Keep a note of what was sent and when, so you can explain the issue accurately. If someone outside the intended customer received information, bring it to the business owner for review under the business's own handling process. Correcting a contact record should not erase the history of the original send.

Ask through a known customer contact

Use an existing conversation or a contact route you already know belongs to the customer. The first message can request routing information without including invoice amounts, payment details or documents. Accounts payable means the person or team handling supplier invoices; the customer may use a different name for it.

Subject: Confirming where to send our invoice

Hi [known contact],

Could you confirm the correct email address or submission route for invoices from [business name]?

Our previous message appears to have reached the wrong contact. I haven't attached the invoice here while we confirm the right destination.

Please let me know the accounts contact and any reference or portal requirement we should use.

Thanks,
[name]

Ask about a portal at the same time. A correct email address may still be insufficient if the customer's agreed process requires a particular submission route.

Verify the destination before attaching the invoice

Confirm the spelling, customer and purpose of the new address. If it comes from an unfamiliar sender or conflicts with previous instructions, check through the established contact. Do not treat every message claiming to be accounts as sufficient confirmation. You are looking for a clear customer instruction about this invoice.

  • Record who confirmed the address and the confirmation date.
  • Check whether the project contact should remain copied.
  • Confirm any purchase order or supplier reference needed.
  • Update the current invoice and future reminder destination.

Review attachments separately. A workbook or statement containing other customers' details is not an appropriate substitute for this customer's individual invoice.

Resend to the confirmed contact with clear context

Explain why the recipient is receiving the invoice now, without blaming the customer or claiming they already saw it. Keep the original invoice date and agreed due date accurate. If timing needs discussion, address it explicitly rather than changing the document silently.

Subject: Invoice [number]: copy for your accounts team

Hi [name / accounts team],

[Known contact] confirmed this is the correct address for our invoices. Please find invoice [number] attached, showing [amount] due on [date] and your reference [reference].

Our earlier copy went to a different address. Please could you confirm whether you need anything else to process this invoice?

Thank you,
[name / business]

A fictional example and a small prevention step

A joiner sends invoice J-88 to a former project manager. The current contact confirms a central accounts address and a required job reference. The joiner verifies those instructions, resends J-88 and changes its reminder destination. They do not forward a long thread containing invoices for other jobs or other customers.

For the next job, confirm the invoice route before issuing the invoice and store the instruction with the customer record. When contacts change, review pending messages as well as future invoices. That small check prevents the corrected address from coexisting with an older reminder still waiting to go out.
