HubSpot setup guide
Manage invoice follow-up on your company record.
Connect once, verify your owner account, then match your PayerPing customers to their HubSpot company records.
1. Connect the right account
You need owner access to a PayerPing business and permission to install apps in the intended HubSpot account. Each PayerPing business connects to one HubSpot account, and a HubSpot account connects to only one PayerPing business at a time.
Open PayerPing Settings → HubSpot, select Connect HubSpot, choose your account and review the requested read-only company access. Connecting alone does not approve or send reminders.
2. Add PayerPing to company records
Ask a HubSpot Super Admin to customise your company record view and add PayerPing invoices from the app-card library to the middle column. Save the view and check that it applies to you. Installing an app does not automatically place its card in every record view.
See HubSpot’s app-card instructions for the current controls.
3. Verify your owner access
From the PayerPing card, start owner verification. Open its secure link, sign in to PayerPing as the business owner, check the displayed HubSpot account and user, then confirm. Return to the card and refresh.
This binds your HubSpot user to your PayerPing owner account. Another HubSpot user cannot inherit that access. Reconnecting the integration requires verification again. You can revoke owner access from the verification page; disconnecting in Settings also stops future access.
4. Match the customer once
Select Match customer, search your PayerPing customers and confirm the customer for the company record you are viewing. Existing and future invoices appear while assigned to that customer in PayerPing when you open or refresh the card. You can match multiple customers to one company; each customer can match only one company in the connected account. Company email domains do not create matches.
Use Link individual invoice when a customer match is not suitable. A manual invoice link is independent of customer matching. Under Manage customer matches, removing a customer match preserves manual invoice links and reminder schedules. You can unlink a remaining manual invoice from its details. Neither action deletes the invoice or stops reminders.
Customer matches and manual invoice links survive reconnection to the same account. If you reassign an invoice to another customer in PayerPing, its inclusion through a customer match follows its current customer. Matching or linking does not approve or send reminders. Add or edit customers and invoices in PayerPing when needed.
5. Review and control follow-up
Open an invoice to see its status and reminder history. For a draft, review every message’s recipient, sender, subject, complete message text and schedule before approving. If invoice details, settings or sending conditions change, refresh the preview and approve the new version.
Pause stops eligible future follow-up. A message already being handed to a provider may still complete; its delivery evidence remains visible. Paid records the full invoice as paid based on your confirmation. Disputed records the dispute and stops future follow-up. Neither action verifies a bank payment or processes money.
Payments and replies go directly to your business. Existing mailbox, subscription, suppression and sending checks still apply. If a request times out, refresh the invoice and check its saved status before trying again. An approval can be saved while scheduling still needs a retry; use the card’s scheduling retry when offered.
Data and removal
PayerPing stores the connected account identity, encrypted OAuth refresh token, confirmed customer matches, manual invoice links and owner-access binding. The verified owner’s card receives invoice details, payer identity, reminder history and exact message previews. PayerPing does not import HubSpot invoices, change CRM records, read replies or collect payments through this integration.
An earlier summary card can show domain-matched invoice figures to people who can view that card in the connected HubSpot account. Only connect an account where that sharing is appropriate. The new invoice controls require separate owner verification.
Disconnect in PayerPing Settings to stop future requests. A card already open can retain displayed details until refreshed or reloaded. Disconnecting does not pause reminders or delete invoices, payers or message history. Uninstall the app under HubSpot Connected apps to remove it there. See the privacy notice and service terms.
If something needs attention
- Card missing: check the company record view and ask your HubSpot administrator to add it.
- No invoices: select Match customer to include that customer’s existing and future invoices, or Link individual invoice for an invoice already in PayerPing. Refresh the card after making changes in PayerPing.
- Owner verification required: complete verification as the PayerPing owner, then refresh the card.
- Not connected: connect or reconnect the intended account in PayerPing Settings.
- Approval blocked: follow the message shown. Review sending setup, the payer or subscription in PayerPing where needed.
Contact support with the time, account ID and error text. Do not send passwords, tokens or customer invoice details. Back to the integration overview.
